Dear parents/guardians,
Before allowing your child to participate in our online workshops, we kindly ask you to review and agree to the following terms and conditions and consent information. Upon registering your child, you will also receive a physical copy of these documents to be signed and returned to us.
These terms and conditions are put in place to ensure the safety and smooth operation of our online workshops. If you have any questions or require further clarification, please do not hesitate to contact us. Your child's well-being and safety are our top priority, and we aim to provide a secure and productive learning environment for all participants. Thank you for your consideration and understanding.
Workshop Overview
The creative arts workshops are designed to engage children in creative writing, script writing and art. Over the course of a workshop, participants will:
- Develop their storytelling skills through creative writing exercises.
- Learn the basics of script writing and dialogue creation.
- Or Learn new creative art skills
What to Expect
- Interactive Sessions: The workshop will include interactive lessons, group activities, and individual creative exercises.
- Creative Freedom: Children can explore their creativity with guidance and support from the workshop facilitator.
- Final Projects: Participants can share their completed scripts, radio plays, or other creative work at the end of the workshops.
Facilitator's Responsibilities
As the owner and workshop facilitator, I, Shelli Wilbon aka Eye Create Stories, commit to the following responsibilities:
Safe and Supportive Learning Environment:
- I will create a positive and inclusive environment where all participants feel welcome and supported in their creative endeavors.
- I will provide clear instructions and guidance for all activities, ensuring that children understand the tasks and expectations.
- I will promptly and sensitively address any concerns related to the content, interactions, or activities.
Educational Content and Delivery:
- I will deliver high-quality, age-appropriate content that aligns with the workshop's goals, ensuring that materials are suitable for children aged 8 to 14.
- I will review any AI-generated content before presenting it to ensure its appropriateness and relevance to the workshop.
- I will provide constructive feedback on participants’ work, encouraging their creative growth and helping them improve their skills.
Technical Support and Accessibility:
- I will ensure that the online platform used for the workshop is accessible to all participants and will provide technical support as needed to help children and their families navigate any website challenges.
- I will make reasonable accommodations for any participants with special needs or requirements, to the best of my ability, ensuring that all children can fully participate in the workshop.
Communication:
- I will maintain open communication with parents and guardians, providing updates on the workshop’s progress and addressing any questions or concerns they may have.
- I will respond to inquiries in a timely manner, ensuring that parents/guardians are informed about their child’s participation and any relevant workshop details.
Privacy and Security:
- I will protect the privacy of all participants, ensuring that personal information, images, and creative work are not shared without explicit consent.
- I will take necessary precautions to secure the online environment, safeguarding against unauthorized access or data breaches.
Emergency Procedures:
- In the event of an unforeseen issue or emergency during a session, I will communicate immediately with parents/guardians and provide guidance on next steps.
- I will have a contingency plan in place for technical difficulties, such as rescheduling sessions or providing alternative activities.
Parent/Guardian Consent
By joining and registering your child, I confirm that I am the parent or legal guardian of the named child participating. I give my child permission to participate in the Creative Arts Workshops by Eye Create Stories, as described above. I understand and agree to the following:
- Participation: My child will be able to participate independently or with the assistance of an authorized adult to help in all aspects of the workshop, including group discussions, creative exercises, and the creation of scripts and radio plays.
- AI-Generated Content: I acknowledge that some content used in the workshop may be generated by artificial intelligence (AI) tools. This content will be used to inspire and guide participants in their creative projects.
- Technology Requirements (for online workshops): I understand that my child will need access to a computer or tablet with internet connectivity to participate in the online workshop sessions.
- Technology Software or Third-Party Websites: I understand that software use is optional, but my child will need to download and use certain software to learn how to use it. Additionally, my child may be directed to third-party websites to participate in group discussions or obtain educational resources. The websites we will use are https://www.audacityteam.org/, software for audio production, Padlet.com for sharing and collaborating, and Youtube.com for educational resources.
- Materials: I am aware that my child will also need writing and coloring materials to be able to work on some art projects.
- Media Release (optional): I give permission for my child's work, voice recordings, and any images or videos of their work taken during the workshop to be can be used and credited in promotional materials for the workshop or related projects. [ ] Yes [ ] No
- Conduct: I understand that my child is expected to behave respectfully and follow the workshop guidelines. Any disruptive behavior online or during the group call may result in removal from the workshop without a refund.
Parental Conduct: I agree to the following guidelines as a parent or guardian:
- Supportive Environment: I will encourage my child to engage positively in the workshop and complete any assignments or activities.
- Respect for Workshop Facilitators: I will communicate respectfully with workshop facilitators and other parents, understanding that the facilitators have the best interest of all participants in mind.
- Communication: I will address any concerns or questions directly with the workshop facilitator, either via email or scheduled meetings, and avoid disruptive comments during live sessions.
- Privacy and Boundaries: I will respect the privacy of other participants and their families, refraining from sharing personal information or recordings of the sessions without consent.
By registering online for my child, I, the undersigned, understand and agree to the following liability terms:
General Safety and Supervision:
- Parent/Guardian Responsibility: During online workshops, it is the responsibility of the parent or guardian to ensure that their child is in a safe and supervised environment. The workshop facilitator is not physically present to monitor the child’s surroundings, and thus, cannot be held liable for any accidents or injuries that may occur during the sessions.
- Home Environment: Parents/guardians should ensure that the child’s workspace is free from hazards, including tripping hazards, sharp objects, or any other potential dangers that could cause injury during participation in the workshop.
- Technology-Related Issues: Internet Safety: While the workshop facilitator will take precautions to provide a safe online environment, parents/guardians are responsible for ensuring that their child follows safe internet practices, such as not sharing personal information or engaging with unknown individuals online.
- Technical Difficulties: The workshop facilitator is not liable for any technical issues that may arise during the workshop, such as internet outages, software malfunctions, or hardware failures. It is the responsibility of the parent/guardian to ensure that the child’s device is functioning properly and that they have access to a reliable internet connection.
- Cybersecurity: Parents/guardians should ensure that the device used by the child has appropriate cybersecurity measures in place, such as antivirus software, to protect against malware or unauthorized access during the online sessions.
Physical Health and Ergonomics:
- Ergonomic Considerations: Parents/guardians should ensure that their child’s workspace is ergonomically suitable, with appropriate seating, desk height, and lighting to prevent strain or injury during prolonged periods of computer use.
- Physical Activity: While the workshop is primarily focused on creative arts, there may be activities that involve movement or physical activity. Parents/guardians should assess whether these activities are suitable for their child and ensure that their child has adequate space to participate safely.
Emotional and Mental Well-being:
- Emotional Safety: The workshop facilitator will strive to create a positive and inclusive environment. However, parents/guardians are responsible for monitoring their child’s emotional well-being during and after sessions. If any content or activity causes distress, parents/guardians should immediately inform the facilitator so that appropriate adjustments can be made.
- Peer Interactions: While the workshop will encourage positive interactions among participants, the facilitator cannot be held responsible for any negative interactions that may occur between children during the online sessions. Parents/guardians are encouraged to discuss online etiquette with their children and report any concerns to the facilitator.
Content Disclaimer:
- AI-Generated Content: Some prompts or materials may be generated using artificial intelligence (AI) tools. While the facilitator will review all content for suitability, parents/guardians should be aware that AI-generated content may occasionally include elements that may not be suitable for all children. If any content is found to be inappropriate, parents/guardians should notify the facilitator immediately.
- Media Usage: If parents/guardians consent to the use of their child’s work, voice recordings, or images for promotional purposes, they release the workshop facilitator from any liability related to the future use of this media.
Indemnification:
- Hold Harmless Clause: Parents/guardians agree to hold Shelli Wilbon/Eye Create Stories harmless from any claims, damages, or liabilities that may arise from their child’s participation in the workshop. This includes, but is not limited to, physical injuries, emotional distress, technical issues, or cybersecurity breaches.
Emergency Contact:
- In Case of Emergency: In the unlikely event of an emergency, parents/guardians should ensure that they are readily available to assist their child. The workshop facilitator is not responsible for providing emergency assistance during online sessions.
These terms and conditions apply to our services as of August 27th, 2024. Please note that the terms and conditions governing our services are subject to change at any time.
